Privacy policy

West Coast Carpentry & Decking (“we”, “us”) respects your privacy. This policy explains what personal information we collect through this website, how we use it, and your choices. As a small business we may not be required to comply with the Privacy Act 1988 (Cth), but we follow the Australian Privacy Principles voluntarily as best practice.

What we collect

• Contact details you provide: name, email, phone number, suburb and postcode.
• Project details: descriptions, dimensions, material preferences, budget range, timing and photos of your property.
• Estimator inputs and the resulting indicative estimate.
• Project Assistant conversations, only if you tick the option to include them with your enquiry.
• Basic technical information such as your IP address, used for security and spam prevention.
• With your consent only: analytics about how the site is used (for example, whether the estimator was completed).

How we use it

• To respond to your enquiry, arrange site visits and prepare quotes.
• To send you a copy of your estimate if you ask for one.
• To send occasional updates, only if you opt in. You can unsubscribe at any time.
• To protect the website from abuse and spam.
• To improve the website, using analytics only where you have consented.

AI features

The Project Assistant, estimate explanations, photo analysis and concept images use an AI service provided by OpenAI. Text you type in the assistant and photos you submit for analysis or a concept image are sent to that provider to generate a response. We use AI to summarise enquiries for our team and suggest draft replies, which a person reviews before anything is sent to you. AI output can be inaccurate, and we confirm details with you directly.

OpenAI processes this information in the United States. Under its API terms it does not use it to train its models, and it may keep it for up to 30 days for abuse monitoring before deleting it. Photos you use for analysis or a concept image are only kept by us if you also send them with an enquiry.

Who we share it with

We don’t sell your personal information. We use trusted service providers to operate this website, including:

• Vercel, for website hosting (United States, with servers worldwide that deliver the site).
• Supabase, for our database and file storage (Sydney, Australia).
• Resend, for sending emails such as enquiry confirmations (Japan and the United States).
• OpenAI, for the AI features described above (United States).

Because some of these providers process information outside Australia, your information may be disclosed overseas to the countries listed. We choose providers with strong security practices and only share what each service needs. We may also disclose information where required by law.

Storage and security

Enquiry details and photos are stored in access-controlled systems. Customer photos are kept in private storage and are only accessible to authorised staff. We keep enquiry information for as long as needed to respond, quote, and meet record-keeping obligations: 7 years for quoted or completed jobs (to meet tax record-keeping requirements) and 2 years for other enquiries. After that we delete or de-identify it.

Cookies and analytics

We use essential browser storage to make the site work, for example to remember your estimator progress and chat during a visit, and to limit how many concept images can be created per visit. Analytics are only enabled if you choose “Accept analytics”. You can change your choice at any time using “Cookie settings” in the footer.

Access, correction and complaints

You can ask to access or correct the personal information we hold about you, or ask us to delete it, by contacting us at hello@westcoastcarpentryanddecking.com.au. If you have a privacy concern, please contact us first and we’ll respond within 30 days. If you’re not satisfied, you may contact the Office of the Australian Information Commissioner (oaic.gov.au).

We may update this policy from time to time. The latest version will always be on this page.
